Requesting Exam Services

Welcome to our guide on scheduling exam services! This page outlines the essential steps and guidelines you need to follow when arranging an exam in our office. Our team is here to assist you through the process, ensuring you have the resources and support needed for a successful exam experience. Guidelines

Before students can schedule any exams in our office, students must first submit a semester request through the MyAccess portal. Click the Semester Request link under the Accommodations menu. You can then select the current semester and verify all of the accommodations and courses are correct. The purpose of this step is to notify the instructor of the exam accommodations that have been approved for you. You only need to submit this request once per class per semester. It is important to note that students can only schedule exams in our office if approved for exam accommodations

All proctored exams will need to be scheduled in advance through MyAccess using the Test Booking module. Exams must be scheduled at least 7 days in advance of the test date. The test booking module will request all needed information including the class, exam date and time. If the exam will be done in person, you will need to select the In-Person exam format so that SAS staff can make the arrangements. Once the information is submitted, you'll see a list of proctoring slots that are available. Make sure to select a time that overlaps with the regular class session.

Once you have submitted a request, you'll receive an email confirming the booking request. This email is not a final confirmation of details and is only meant to confirm that SAS has received the request.

Approxiimately 2 days prior to the exam, you wiill receive a final confirmation email whiich contains all of the details about your proctored exam. This email will be sent to the SAS student, class instructor, and the Exam Proctor. Please make sure to verify all of the information, and take note of exam location and time. Most proctored exams will be done in our dedicated Testing Center, but during high volume testing times SAS may place you in an alternate location on campus. Your exam very likely will not take place where the course is taught.

It is important to note that any exams scheduled 6 days or less from the exams date will need to be scheduled with the front desk staff. These exams will need to be approved by SAS professional staff before they are scheduled due to limited space on exams scheduled less than 7 days in advance. The closer to the exam date, the less likely SAS will have available space to accommodation for student exams.

If your exam will be taking place online and you do not need a proctor (e.g. the instructor has formatted the exam to take place on CatCourses, open-book, with no proctor), we recommend still submitting a request through MyAccess so that we can work with your instructor to make sure your accommodations are in place. When submitting the request make sure to select the Online Exam option to verify that in-person proctoring will not be needed.

Step 1: Testing Room Tab

Once logged into MyAccess, students will need to click on the testing room tab on the left-hand side of the page.

As seen in the image, students will be taken to the alternative testing rooms page.Here students will click on the New Booking Request button at the bottom of the page.

Step 2: Course Selection

Once the New Booking Request tab is clicked, students will get a dropdown menu with all of the classes they are enrolled in. Here, students will need to select the course for which the exam is for. In this example, the course selected is ENGR-193.

Step 3: Top of Course Information Page

Once the correct course is selected, students will be taken to a page which can be seen in the image. Here students will be asked to fill out information about the exam. For the date range, Students will need to put the date of their exam in both boxes. In this example, the exam is scheduled to take place on 10/9/24. For the time range, students should make sure that the exam time is within the time range. It is important to note that the time ranges only let students select between 0 or 30. In this example, the exam is scheduled for 8:30am-9:15am. For the final exam, students will select no as final exams can only be scheduled with front desk staff. For override course length, students will select yes if they have extra time accommodations for exams.

Step 4: Bottom of Course Information Page

For the length, students will put the length of the exam without extended time added. In this example, the exam is 45 minutes. For building, students will pick ACS. For room(s), students will have 2 options; In person and Online exam. In person means that the rest of the class is taking the exam at the same time in class. Online exam means that students do not need to be proctored by SAS but still need extended time added to canvas by the professor. In this example, the exam is in person. For days of the week, students will need to select the day which was picked earlier. In this example, the exam is on Wednesday. From here, students will select the Check Availability box at the bottom of the page.

Step 5: Availability List

Once the Check Availability box is selected at the bottom of the page, students will get different options shown on the right-hand side of the page. These options will be broken down into 5 minutes increments starting from the beginning time range which was selected previously. Students will select the start time of their exam in this section. In this example, we have the start time of the exam being 8:30am so that is the option which will be selected.

Step 6: Confirmation Page

After selected, students will be taken to a confirmation page. Here, students will need to make sure that all of the information of the exam is correct. In the exam box, students can put the name of the exam. Here, students will also see the length of the exam. If students have extended time for exams, the extra time will be added here. In this example, the exam time was 45 minutes but with the extended time, the length is now 68 minutes.

Step 7: Confirmation Page Continued

In the phone number box, students can put their phone number and students will receive a text with a reminder the day before their exam. In the accommodations needed box, students will need to ensure that the box is checked so that the extended time is added to the exam. In this example, the box is checked so that the 50% extended time is added to the original exam time.

Step 8: Confirmation Page Continued 

In the notes box, students can put any information which they think will be helpful for SAS to know. Here are some examples: allowed to use a calculator, cheat sheet allowed, notecard allowed, need to log onto zoom, scantron needed, etc. Once students confirm that all of the information is correct, students will select the Submit Request box at the bottom of the Confirmation Page.

Step 9: Testing Room Tab

After the Submit Request button is selected, students will be taken back to the Alternative Testing Rooms page. Here students will see the exam in the Pending Booking Requests tab on the left side of the page. Once the exam is approved by SAS, the exam will be moved to the Approved Booking Requests. It is important to note that exams are not approved for students until they are moved to the Approved Booking Request tab.

Additional Information

Contact Your Instructor

If you have any exam time conflicts, contact your instructor before signing up for the exam accommodation in MyAccess to discuss an alternate exam time that best fits your schedule. To prevent such conflicts, we strongly recommend you enroll in classes with enough time between the classes and check the exam schedule at the time of registration.

On the Day of Your Exam

On exam day, be sure to check the arrangements in the confirmation email to ensure that no last-minute changes were made. Contact SAS immediately if there are problems with the administration of your exam.

Things to keep in mind:

You are responsible for scheduling your exams by submitting a booking request. Logging into MyAccess first and selecting the Test Booking tool will filter the exams offered to represent your own course schedule.

SAS strongly recommends that you schedule your exams as soon as your instructor provides information on the dates. Scheduling your exams in advance guarantees that you will receive exam accommodations. We will make every effort to accommodate all requests but cannot guarantee accommodations for last-minute requests.

If you miss an exam, it is your responsibility to communicate with your professor. You must ask your faculty to email SAS to confirm the date of your make-up exam. You must then contact SAS to confirm your exam schedule. SAS students cannot be guaranteed the opportunity to sit for missed course exams.

If you will be using approved auxiliary aids that require SAS or faculty coordination (SAS laptop, spellchecker, calculator, memory prompts, etc.), students must communicate appropriately for each exam accommodation. These services must be individually requested as needed per exam as part of the scheduling process. In the case of electronic equipment, you will be provided with the equipment immediately before the exam begins.
